General Description:
This is an administration & events planning position. Hours are 13-30 per week including most Saturdays depending on the needs of the chamber. Wage is negotiable depending on experience. Applicants must have at least 2 years of experience in event planning and must be familiar with the York Region and giving directions.
 
Qualifications:

  • Must be customer service oriented: cheerful, courteous, and friendly
  • Must be able to multi-task and budget time to meet various deadlines for multiple projects simultaneously
  • Must be able to communicate effectively both in written and oral language skills
  • Must be able to work as a member of a team to promote the chamber, its member businesses and its objectives
  • Must be computer literate and have knowledge of MS Office Suite
  • Must be efficient, organized, reliable, flexible, and energetic
  • Must be available to work weekends along with regular weekday schedule as well as occasional evenings for events
 
Responsibilities:
  • Must be able to lift up to 40 pounds
  • Must be able to climb stairs with ease
  • Must be punctual, have reliable transportation and a valid Drivers’ License
  • Must be able to use your own vehicle to fill external brochure kiosks weekly as needed. Mileage is paid for this task at the IRS standard mileage rate
  • Learn the set-up and rules required for the farmers' market. Enforce policies with vendors
  • Prepare and process applications for events
  • Send out confirmations and finalize layouts for events
  • Schedule and plan monthly business after hours events
  • Assist the Business Manager and Executive Director with day-to-day tasks as assigned
  • Staff the Chamber’s front desk and answer the phone; be pleasant, acknowledge people entering the building, stand, approach the visitor, say hello, make eye contact
  • Familiarize yourself with Chamber Membership List
  • Answer inquiries pertaining to the area, attractions, places to stay, things to do, etc. This includes providing effective directions
  • Call each lodging member twice per week (Tuesday and Thursday mornings) to record room availability, mid-May - end of October
  • Respond effectively and in a timely manner to inquiries or requests for area information or guidebooks
  • Assist Executive Director and Business Manager with all clerical functions including mailings, follow up phone calls, and member databases, etc.
  • At the Executive Director's request, bag, collate, and box materials for tradeshows
  • Assist in the maintenance of the grounds and the building including garbage removal, vacuuming, oversight of the meeting room and public spaces
  • Manage the gift shop - including organizing displays, restocking, pricing, ordering. etc.
  • Close out gift shop computer each night, print report and count cash drawer
  • Other responsibilities that are not listed here as the need arises
  • Must maintain confidentiality regarding the operations of the chamber related to financial information, employees, members and the Board of Directors. Discussion outside of the chamber regarding chamber business, members, staff members, financial information or Board of Directors will result in immediate job termination.
